Job Summary

Wondros, a global creative and strategic agency headquartered in Los Angeles, with a primary office in Washington, DC, is seeking an Executive Assistant to perform a wide range of administrative duties to support the President. The assistant would engage in diverse client and partner interactions from high level institutions, including state and federal governments, foundations, and companies in the policy, entertainment, finance, technology, arts, and health care fields. The role requires strong organizational competence and the ability to anticipate what is needed for the President to perform her role effectively and efficiently. This role requires maintaining the strictest confidence and a high level of professionalism and maturity.

This role has strong potential for growth and can evolve according to the candidate’s strengths, aptitudes, and initiative.

Key Responsibilities

  • Schedule and manage calendar for President.
  • Direct daily administrative operations for the President.
  • Work with President on drafting and developing correspondence and communications.
  • Schedule and book travel for President.
  • Manage complex calendaring; coordinate meetings with internal staff and outside contacts.
  • Manage hospitality and catering for internal and external meetings.
  • Perform research as needed.
  • Complete monthly expense reports and purchase orders for President.
  • Collaborate with other executive assistants on ad-hoc tasks, as assigned.

Required Qualifications

  • Bachelor’s Degree
  • At least one year of administrative experience
  • Self-starter with the ability to independently identify and act on areas of improvement.
  • Extremely organized and detail-oriented.
  • Excellent written and oral communication skills
  • Ability to rapidly learn and understand new systems.
  • Proficiency in the following applications: Google Docs & Spreadsheets, Word Document, Excel.
  • Familiarity with: Adobe Acrobat, Keynote
  • Experience working in a fast-paced, challenging environment
  • High emotional intelligence and self-awareness
  • Problem solving skills: Ability to solve problems with ease and speed.
  • Proven skills at building and managing relationships.

Physical Requirements

  • While performing the duties of this job, the employee is regularly required to climb stairs, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard
  • This position requires minor lifting of items up to 15 pounds
